Foreigner Family Members Residence Permit Acquisition Support Procedure

Accompanying family members of international faculty working at Bilkent University must apply for a residence permit issued by the Presidency of Migration Management before the expiration dates of their tourist visa.

According to the current legislation, the residence permit application for family members can only be made by the international faculty member (sponsor) who already has a work permit him/herself or by their appointed legal representative (lawyer).

Bilkent University has signed an agreement with a law firm to help the international faculty and researchers/post-docs employed in research centers to obtain residence permits for their family members.

The law firm contact information given below is authorized to assist family members during the residence permit application process by providing consultancy or legal representation services.

Details of these services are as follows:

Consultancy Service: i. Providing consultancy until the application process is completed, ii. Providing assistance with filling out the online application form, iii. Providing health insurance (if non-insured), iv. Providing information about the missing documents, v. Payment of fees, etc. on behalf of the applicant.

Legal Representation Service: All of Consultancy services, and vi. Accompanying applicants during the  Immigration Office interviews, vii. Advocacy services, viii. Following up on the application process and ensuring that the residence permit card is received.

Should you choose to use any of these services, the following rules and actions will apply:

  1. You should apply for residence permit if you have a work permit valid for (at least) 6 months and before your family members’ tourist visas expiration dates.
  2. You can contact Human Resources Office for details of using the law firm services and decide the type of service you will acquire.
  3. If you decide to utilize any of these services, make sure to register your name with the Human Resources Office. Following that, the law firm will be promptly informed of your request.
  4. Fill out the attached “Memorandum of Understanding for the Service Procurement for the Residence Permit Acquisition for Foreign Family Members” form.
  5. Contact the law firm, make an appointment, and hand in the form. The firm will then send the signed form to Human Resources Office.
  6. Bilkent will subsidize half of the fee required for the “consultancy” or “legal representation” services, and the other half will be deducted from your salary once the process is completed.
  7. For one time only, Bilkent will pay the full service fee (consultancy or legal representation) for each international faculty member and project personnel. In other words, the first time the service is used by currently employed or newly recruited faculty, there will be no law firm service deduction from your salary.
  8. Additional costs incurred while obtaining a residence permit (power of attorney, translation & notarization, obtaining an apostilled document, a new health insurance and application fees, etc.) are directly paid to the service provider by the faculty member or project personnel. You can get information on current fees from the law firm.
  9. The consultancy or legal representation service will be considered as received regardless of the residence permit application outcome. In other words, the fee will be charged even if the Migration Management rejects the permit application.
  10. The responsibility of providing the necessary documents for the application belongs to the international faculty and project staff.
  11. Service fees valid in 2024 are as follows: Consultancy service fee:  11,000 TL per person, Legal Representation service fee:  13,000 TL per person.
