– Before you go:<\/strong><\/p>\n

<\/span>\u00a0Visit the host university\u2019s Erasmus Program website and learn the application deadline, accommodation options and visa procedures for Erasmus students.<\/p>\n

<\/span>\u00a0<\/strong>Contact your Departmental Exchange Coordinator; make sure he\/she nominated you to the host university.<\/p>\n

<\/span>\u00a0<\/strong>Participate to the Orientation Program organized by the Office of International Students and Exchange Programs (OISEP)<\/p>\n

<\/span>\u00a0<\/strong>Apply for a passport or extend it.
\n\u00a0<\/strong>
\n<\/span>\u00a0<\/strong>Apply to the host university before the application deadline. Don\u2019t wait until the last minute!<\/p>\n

<\/span>\u00a0<\/strong>Check the course offerings at the host university and discuss the possible courses you can take with your Department Exchange Coordinator, before preparing your Pre-approval Form and Learning Agreement.<\/p>\n

<\/span>\u00a0<\/strong>Prepare your Pre-approval Form\u00a0and Learning Agreement Form\u00a0https:\/\/www.bilkent.edu.tr\/bilkent\/admission\/outgoing_exchange\/selected_students.html<\/a><\/p>\n

<\/span>\u00a0<\/strong>Send your Pre-approval form to your Departmental Exchange Coordinator to be signed and approved and then send a signed version to\u00a0exchange@bilkent.edu.tr<\/a><\/p>\n

<\/span>\u00a0<\/strong>Fill out your Learning Agreement form and sign it.<\/p>\n

<\/span>\u00a0<\/strong>Then send it to your Departmental Exchange Coordinator and the host university for the signature.<\/p>\n

<\/span>\u00a0<\/strong>After receiving the signed Learning Agreement from the host university submit a copy to\u00a0exchange@bilkent.edu.tr<\/a>\u00a0by e-mail.<\/p>\n

<\/span>\u00a0<\/strong>As soon as you receive your Acceptance Letter from the host university submit a copy to\u00a0exchange@bilkent.edu.tr<\/a>.<\/p>\n

<\/span>\u00a0<\/strong>Get an Extended Health and Travel Insurance, submit one copy to\u00a0exchange@bilkent.edu.tr<\/a>.<\/p>\n

<\/span>\u00a0<\/strong>Apply for an Erasmus Student Visa. (As soon as you receive your acceptance letter)<\/p>\n

<\/span>\u00a0<\/strong>Open a EURO bank account at any Yap\u0131 Kredi Bank Branch, email the IBAN number and Branch name to\u00a0exchange@bilkent.edu.tr<\/a>.<\/p>\n

<\/span>\u00a0<\/strong>Sign the Erasmus Grant Agreement for grant payment: Erasmus Grant Agreements will be e-mailed to students\u2019 @ug.bilkent e-mail accounts, prior the completion of the above mentioned documents only. Once the agreement is sent to your e-mails, you should print the agreement in two copies, sign both, and deliver the signed copies to OISEP in person. Erasmus monthly grant payment process can start prior the delivery of the grant agreement to our office. (Latest 30 days prior to your travel.)<\/p>\n

<\/span>\u00a0<\/strong>Following the completion of the above mentioned tasks, first payment will be deposited.<\/p>\n

 <\/p>\n

– While you are there:<\/strong><\/p>\n

<\/span>\u00a0<\/strong>If you have to make any changes to your approved Learning Agreement, contact your Departmental Exchange Coordinator at Bilkent University and get his\/her approval for your new course selection.<\/p>\n

<\/span>\u00a0<\/strong>As soon as you complete the course registrations update your Learning Agreement and get it signed. Do not forget to bring the original back with you to submit to OISEP.<\/p>\n

<\/span>\u00a0<\/strong>If you have made any changes to your Learning Agreement, update your pre-approval form as well, get it signed by your Departmental Exchange Coordinator at Bilkent University and email a copy to\u00a0exchange@bilkent.edu.tr<\/a>.<\/p>\n

<\/span>\u00a0<\/strong>Before you leave the host university, print the Official Dates form, from the following webpage;\u00a0http:\/\/www.bilkent.edu.tr\/bilkent\/admission\/outgoing_exchange\/selected_students.html<\/a>\u00a0get it signed, and let the host university send it to\u00a0exchange@bilkent.edu.tr<\/a>\u00a0upon your return.<\/p>\n

\u00a0<\/span>Make the necessary arrangements for your transcript to be sent to\u00a0exchange@bilkent.edu.tr<\/a>.<\/p>\n

 <\/p>\n

– Upon your Return:<\/strong><\/p>\n

\u00a0<\/span>Please send your \u201cYurda Giri\u015f\/\u00c7\u0131k\u0131\u015f Belgesi\u201d that can be obtained from e-devlet online platform, to\u00a0exchange@bilkent.edu.tr<\/a>. The dates in this document must cover your Erasmus period.<\/p>\n

<\/span>\u00a0<\/strong>Your signed Official Dates Form and transcript of records must be sent by your host university to\u00a0exchange@bilkent.edu.tr<\/a>\u00a0directly.<\/p>\n

\u00a0<\/span>After these documents are completed, the European Commission will send a Participation Report to your Bilkent email. Fill out the form and submit it online for being eligible to receive the remaining Erasmus grant.<\/p>\n
